Your Role:
We are seeking a proactive Administrative Assistant with 2–3 years of relevant experience to join our small, high-performing team. This is a key role requiring a high level of discretion, autonomy, and organizational skill. You will be responsible for ensuring the smooth operation of our office and supporting various administrative and operational functions.
Key Responsibilities:
- Manage day-to-day office operations, ensuring a well-organized and professional environment.
- Handle confidential and legal documents with discretion and accuracy.
- Coordinate internal and external meetings, including scheduling, logistics, and minute-taking.
- Follow up on action plans and ensure timely execution of tasks.
- Conduct data collection, research, and analysis to support decision-making.
- Draft and edit correspondence, presentations, and reports
- Maintain and update databases, contact lists, and key information.
- Serve as a point of contact for suppliers, service providers, and authorities.
Qualifications and Requirements:
- Completed commercial apprenticeship or equivalent education.
- 2–3 years of experience in a similar administrative or office management role.
- Native French or German speaker with good skills in the other language; good English proficiency or willingness to improve.
- Strong command of MS Office and digital tools.
- Highly organized, detail-oriented, and able to prioritize tasks independently.
- Discreet, solution-oriented, and comfortable working in a small, collaborative team.
- Flexible and adaptable to changing priorities in a dynamic environment.
