Your Role:

We are seeking a proactive Administrative Assistant with 2–3 years of relevant experience to join our small, high-performing team. This is a key role requiring a high level of discretion, autonomy, and organizational skill. You will be responsible for ensuring the smooth operation of our office and supporting various administrative and operational functions.

Key Responsibilities:

  • Manage day-to-day office operations, ensuring a well-organized and professional environment.
  • Handle confidential and legal documents with discretion and accuracy.
  • Coordinate internal and external meetings, including scheduling, logistics, and minute-taking.
  • Follow up on action plans and ensure timely execution of tasks.
  • Conduct data collection, research, and analysis to support decision-making.
  • Draft and edit correspondence, presentations, and reports
  • Maintain and update databases, contact lists, and key information.
  • Serve as a point of contact for suppliers, service providers, and authorities.

Qualifications and Requirements:

  • Completed commercial apprenticeship or equivalent education.
  • 2–3 years of experience in a similar administrative or office management role.
  • Native French or German speaker with good skills in the other language; good English proficiency or willingness to improve.
  • Strong command of MS Office and digital tools.
  • Highly organized, detail-oriented, and able to prioritize tasks independently.
  • Discreet, solution-oriented, and comfortable working in a small, collaborative team.
  • Flexible and adaptable to changing priorities in a dynamic environment.
