We are looking for an

Administrative Assistant / Receptionist

Your responsibilities:

  • Assisting in administrative functions under supervision of the Office Coordinator

  • Managing incoming phone calls and e-mails

  • Welcoming and taking charge of meeting participants, visitors, suppliers and other stakeholders
  • Assisting IFPMA staff in logistics of high level events and meetings
  • Organizing travels, visa requirements and hotel arrangements
  • Collecting and sending out mail and parcels
  • Organizing catering and office supplies
  • Providing administrative support for assigned projects and committees

  • Maintaining the office information system by ensuring that relevant documents, lists, contacts etc… are up to date

Your profile:

  • “CFC de commerce” or equivalent (e.g. “hôtellerie”) with at least two years of experience in similar function
  • Very good command of English and good command of French (written and spoken)

  • Customer service orientation
  • Strong organization skills
  • Accurate with a keen eye for details
  • Good command of Microsoft Office
  • Dynamic, energetic and capable of multitasking even under pressure
  • Team player with good interpersonal skills
  • Swiss valid working permit
