To strengthen our Chairman Office, we are looking for an:


EXECUTIVE ASSISTANT 


ROLE 

Reporting to the Chief of Chairman Office - Corporate, you will be responsible of providing high-level administrative support for the corporate activities of the Chairman Office, including:


  • Answering and filtering incoming telephone calls
  • Managing a complex agenda and arranging meetings with internal and external stakeholders
  • Sorting all incoming correspondence and highlighting priorities
  • Typing high-quality written materials both in French and English
  • Managing contacts and mailing database
  • Efficient retrieving and filing system
  • Reception of high-level visitors
  • Organization of logistics (incl. meeting rooms, videoconference, catering, announcements, invitations) for meetings
  • Coordinating travels for the Chairman and key business stakeholders
  • Responsible for office management (maintaining general supplies stock levels, management of meeting rooms, addressing maintenance issues with Facilities and IT)
  • Expense claims, processing invoices and liaising with accounts department for payments follow-up

PROFILE

 
- Solid administrative experience in a corporate environment reporting to C-level and a degree in administration or equivalent certification
- Excellent relationship builder and team player; able to demonstrate a high level of tact, committed to discretion and diplomacy with all internal and external stakeholders
- Resourceful, high attention to details, able to anticipate and solve problems autonomously
- Able to work under high pressure and short deadlines in a fast-paced environment, comfortable multi-tasking a wide variety of activities
- Advanced proficiency with Office365 tools (Word, Outlook, Excel, Teams), Concur and Adobe Acrobat
- Excellent written and verbal communications skills both in French and English (C2)
