Description du poste :
- Provide sophisticated calendar management for the General Secretary. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.
- Act as a liaison between the General Secretary and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior management staff.
- Arrange and coordinate meetings and events including logistics, attendees, and materials preparation. Ensure the General Secretary's preparation for meetings and appearances is meticulous and comprehensive.
- Draft, review, and send communications on behalf of the General Secretary. Prepare complex documents, reports, and presentations with a high degree of confidentiality and professionalism.
- Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees, and boards of directors.
- Manage travel arrangements and proactively address any last-minute changes or preferences, providing end-to-end support.
- Oversee special projects and initiatives from conception to completion.
Description du profil :
- Bachelor's degree or equivalent experience in Business Administration or related field.
- A minimum of 5 years' experience in an Executive Assistant role, preferably within the transport industry or a related sector.
- Exceptional ability to communicate and foster positive relationships with all levels of staff, external stakeholders, and partners.
- Proven track record of managing complex schedules and logistics.
- Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Advanced proficiency in Microsoft Office Suite and experience with digital scheduling and communication tools.
- Fluent in English and French; additional languages are an asset.
- Discretion and confidentiality of the highest order are paramount.
