Job Description
You will join a team of 3 receptionists, and your main tasks will include the following:
- Front Desk:
- Greet and guide visitors, students, and parents to their designated areas
- Manage incoming calls and respond to email inquiries
- Offer general information regarding the school, admissions process, and upcoming events
- Maintain cleanliness and organization of visitor meeting areas and rooms
- Administration:
- Update and manage thestudentdatabase, includingattendance records and familydetails
- Handle incoming and outgoing mail and packages
- Schedule and oversee the use of school facilities and meeting spaces
- Provide administrative assistance to various departments as required
- Assist with miscellaneous administrative tasks such as cafeteria management, transportation coordination, and facility rentals
- Respond to emergency situations by executing assigned tasks, including building evacuations
The Successful Applicant
- Vocational certification in hotel management, tourism, or a related field within the hospitality industry
- Minimum of 3 years of experience in a position requiring both front office and administrative skills
- 2+ years of experience in an international setting
- Strong verbal and written communication abilities in English (minimum C1 level) and French C2, proficiency in Spanish or another language is advantageous
- Outstanding customer service and interpersonal skills, with the ability to navigate diverse situations with tact and diplomacy
- Capacity to manage multiple tasks concurrently, prioritize effectively, and adjust to shifting demands
- Aptitude for cultivating positive relationships in a culturally diverse environment
- Demonstrated accountability, with a proactive approach to problem-solving
- Discretion, reliability, and trustworthiness in handling sensitive information
- Proficiency in Microsoft Office applications (Outlook, Word, and Excel; advanced Excel skills are desirable)
- Previous experience with Customer Relationship Management (CRM) systems is highly beneficial
