As part of the Guest Experience team for Homo Faber 2026, we are recruiting an Administrative Assistant who will play a supporting role for the team. The role involves a variety of administrative, clerical, and coordination tasks in support to the Managers and Coordinators within the Events, Food & Beverage, Fundraising and Administration teams with a focus on procurement, contracts, and accounting follow-up. This includes close collaboration with suppliers, internal/external stakeholders and an audience of artisans, students and graduates.
HOW WILL YOU MAKE AN IMPACT?
Reporting to the Events & Programme Director, this role will be responsible for:
Before Homo Faber Biennal:
Administrative and Coordination Support
- Provide daily administrative assistance to the projects team (scheduling, correspondence, data entry, reporting).
- Maintain updated filing systems, shared folders, and databases related to suppliers, contractors, and logistics.
Procurement and Finance Process
- Support the procurement-to-pay cycle: creation and modification of purchase orders, vendor profiles, invoice tracking, and reconciliation, in close coordination with the finance department and in accordance with established procedures.
- Assist in managing documentation for tenders, supplier contracts, and codes of conduct.
- Support budget tracking and reporting in collaboration with the team and closely with the Events and Programme Director.
Contract and Legal Administration
- Liaise with external stakeholders, contractors, artisans, students and graduates and administrative department for contracts preparation and related documentation.
- Follow up on contract signature (DocuSign), filing and archiving.
During Homo Faber Biennial:Available onsite during the event (if needed)
After Homo Faber Biennial:
- Support the closing of accounts and budget.
- Write reporting and recommendations for the next edition.
- Prepare and send end of project / programme documents.
HOW WILL YOU EXPERIENCE SUCCESS WITH US?
The successful candidate will demonstrate alignment with the Foundation values and goals.
Knowledge
- Fluent in French and Englsih; Italian is an asset.
Experience
- Minimum of 2 years of experience in a similar administrative support role.
- Experience in procurement and accounting workflows (AR/AP, invoice tracking).
- Proficiency in Microsoft Office Suite (Excel, Outlook, Word, PowerPoint);
- Proficiency in SAP
Skills
- Strong organizational skills, detail-oriented, with a proactive attitude and service-oriented.
- Strong communication skills and discretion in handling confidential matters.
- Strong team-player, with good interpersonal skills is critical as the environment is dynamic and multicultural with multiple stakeholders.
- Ability to work under pressure and meet tight deadlines.
- Professional demeanor and strong work ethic.
