Mission summary:

As part of the Guest experience team for Homo Faber 2026, the Guest experience coordinator will play a supporting role. The position involves a variety of administrative, clerical, and coordination tasks in support to the Managers and Coordinators within the Events, Hospitality onsite, Food & Beverage, Fundraising, Workshops onsite, Private visits, Education and Administration teams with a focus on procurement, contracts, and travel coordination. This includes close collaboration with internal/external stakeholders including providers and an audience of artisans, students and graduates.


Key responsibilities:
Reporting to the Events & Programme Director, this role will be responsible for:

Before Homo Faber Biennial: 

1)      Coordination Support

  • Provide daily administrative assistance to the projects team (scheduling, correspondence, data entry, reporting).
  • Maintain updated filing systems, shared folders, and databases related to suppliers, contractors, and logistics.
  • Liaise with external stakeholders, contractors, artisans, students and graduates and Administrative department for contracts preparation and related documentation.
  • Follow up on contract signature (DocuSign), filing and archiving.
  • Coordinate travels and rooming lists for accomodation for a number of stakeholders participating in Homo Faber 2026.
  • Adhoc support to events and education projects with the preparation of presentations and tracking documents.

 

During Homo Faber Biennial: Available onsite during the event (if needed)


After Homo Faber Biennial:

  • Prepare and send out surveys.
  • Write reporting and recommendations for the next edition.
  • Prepare and send end of project / programme documents.

The ideal candidate - skills, experience and approach:

  • Proficiency in Microsoft Office Suite (Excel, Outlook, Word, PowerPoint);
  • Fluent in French and English; Italian is an asset. 
  • At least 2 years of experience in a similar coordination and support role.
  • First experience in events coordination.
  • Organized, detail-oriented, service-minded, with a proactive attitude.
  • Ability to work under pressure, meet tight deadlines and be in contact with a wide number of stakeholders.
  • Strong communication skills and discretion in handling confidential matters.
