Description du poste :
The Officer, Operational Efficiency will oversee an integrated approach to business development and continuous improvement for the grant management processes under their responsibility. Key responsibilities include:
Grant Regulations and Project Management:
- Coordinate the development of grant management regulations and operational policies across divisions.
- Ensure the quality of deliverables aligns with the operational efficiency approach.
- Propose timelines, define tasks and resource requirements, execute project activities, and track deliverables.
- Conduct stakeholder management activities, monitor and report on progress, and proactively resolve issues.
- Chair cross-functional meetings, participate in special projects, and provide inputs on grant management regulations.
Grant Operational System Design:
- Track and propose future operational system needs and assess resource needs and benefits.
- Develop and revise grant management procedures in consultation with business owners.
- Coordinate with business process owners and specialists for an integrated review of proposed changes.
- Develop business requirements, coordinate with IT on solutions development, and manage user acceptance testing.
Business Process Change Management & Support:
- Develop change management plans and materials in coordination with business owners and the Change Coordination team.
- Execute change management activities, implement an end-user support model, and ensure timely support for user queries and incidents.
Compliance Monitoring & Learning:
- Propose a risk-based monitoring approach for grant business processes.
- Monitor operational efficiency metrics, document exceptions, and report to senior managers.
- Draft FAQs for policy, process, and systems-related questions based on support queries.
- Undertake periodic diagnosis of operational business processes for improvements and good practices.
Additional Tasks:
- Undertake additional tasks as requested by the Head, Grant Portfolio Solutions and Support or Senior Manager, Operational Efficiency.
Deliverables:
- Reduction in workload and duration of key grant management processes over time.
- Successful delivery of project activities and milestones for the grant management transformation initiative.
- On-time delivery of business process changes according to agreed corporate timelines.
- Successful implementation of change management.
- Reduction in support queries and user errors.
- Longer-term improvement in individual performance of grant management staff on key operational efficiency metrics.
Description du profil :
Experience with project management methodology;
- Experience coordinating between cross-divisional teams;
- Experience implementing organizational change using change management
techniques.
