We are urgently looking for a bilingual

Receptionist Fr/Eng

Responsibilities

As the first point of contact for external visitors and clients, you will provide excellent and professional customer service in greeting clients, managing switchboard and general front office duties.

Reception
  • Ensure reception is covered at all times
  • Manage meeting room bookings (including training room)
  • Answer telephone and transfer calls to the appropriate employee
  • Greet clients in a professional manner, provide soft drinks as requested
  • Send messages to employees informing them of missed calls with minimum details on the caller (name, contact number, reason for the call)
  • Ensure reception area and meeting rooms are manicured and tidy at all times
  • Receive, record and distribute mail
  • Maintain visitor and staff leave spreadsheets
  • Organize DHL registered mails (receipt and send)
  • Ensure cutlery and plates are available for clients and visitors and re-order as necessary
  • Organize monthly staff drinks and other ad hoc events within set budget
  • Organize tea, coffee, water and biscuits for key management meetings
  • Taxi arrangements / hotel bookings / travel arrangement as necessary

Facilities
  • Organize and ensure constant provisioning of stationary cupboard available to staff
  • Order and maintain drinks, coffee and other amenities which are stocked in the kitchens
  • Update visitor list in conjunction with team assistant and circulate to all staff every week

Admin support
  • Maintain and update absence spreadsheet (annual leave, sickness)
  • Provides invitation letters to foreign colleagues and assists with the creation of visa requests
  • Other ad hoc admin tasks as requested


Requirements

  • You're immediately available
  • Bilingual French and English or minimum Advanced level (in English)
  • Ideal previous experience as a receptionist in a multi cultural environment
  • Good administrative skills including working knowledge of Microsoft Office and Outlook
  • Attention to details and ability to work with tight deadlines
  • Excellent oral and written communication skills
  • Demonstrate initiative, flexibility and adaptability
  • Good team player
