Job Description
Part-time Receptionist50% annualized contract - working hours from 12:45 to 18:15 during school term - starting January 2026
Responsibilities
Front Desk & Communication
- Manage all incoming telephone calls, emails, and front-desk enquiries in an engaging, clear, and efficient manner, ensuring timely responses.
- Communicate messages accurately and promptly to the appropriate staff members.
- Compose and send emails to parents as needed.
- Greet and assist visitors in a courteous, professional, and diplomatic manner.
- Use discretion and sound judgment when sharing information inside or outside the school.
Daily Operations & Handover
- Receive a clear and detailed handover from the morning receptionist to ensure continuity of service, and prepare an equally thorough handover for the next morning.
- Maintain the reception area to ensure it is tidy, organized, and welcoming at all times.
- Manage the lost property area at the end of each day and prepare it for the following morning.
- Work according to the school-term schedule and benefit from most school holidays.
Student Administration
- Update student registration and absence records daily, including input into the school-s management system.
- Inform relevant internal stakeholders of any student absences, late arrivals, or early departures.
- Support various administrative processes such as attendance letters, student database updates, uniforms coordination, evacuation registers, and other tasks as needed.
Cross-Department Support
- Assist the Marketing and Admissions teams with administrative and occasional front-facing tasks.
- Provide basic medical care when the school nurse is absent (within non-clinical limits).
General
- Develop strong working knowledge of the school, including key personnel, parent community, school events, and daily operations.

Qualifications and Skills
- Minimum 3 years- experience in administrative support, reception, hospitality, or a similar customer-facing role, ideally in an international environment.
- Fluent English and French (spoken and written).
- Excellent IT proficiency and strong command of digital tools.
- Outstanding communication skills across phone, email, and in-person interactions.
- Strong customer-service mindset with a proactive, solution-oriented approach to meeting the needs of pupils, parents, and staff.
- Professional presentation, discretion, and a positive demeanor.
- Excellent organizational abilities, resilience, and time-management skills; able to manage multiple tasks efficiently with strong attention to detail.
- Ability to maintain high standards of service during both busy and quieter periods.
- A collaborative, supportive attitude and the ability to interact positively with pupils, parents, and colleagues.
- Clear criminal records.
