About Our Client
Our client is a well-established multi-family office in Geneva.
Job Description
- Integrating the team;
- Supporting client-facing colleagues with meeting preparation, documentation and presentations;
- Printing and binding presentations for client pitches;
- Assisting client onboarding: collection of KYC documents, coordination with Compliance, follow-up on outstanding items;
- Supporting completion and processing of account-opening documentation (incl. scanning/posting and basic cross-checking);
- Maintaining client files and CRM records in line with regulatory and internal rules;
- Preparing client correspondence for review and approval (Mailchimp, etc);
- Supporting execution of client instructions (payments, transfers, reporting) following internal controls;
- Liaising with banks and service providers for statements, confirmations or administrative needs;
- Running periodic client reports (e.g., quarterly) and saving them to client files across custodians;
- Providing periodic updates to custodians as required (e.g., monthly NAV updates);
- Coordinating client and internal meeting scheduling and follow-up actions;
- Assisting with client liaison during onboarding (document collection, clarifications);
- Assisting with research and data gathering to be uploaded on relevant platforms and supporting material (ppt, etc);
- Maintaining internal Investment Committee databases, research and associated documentation;
- Preparing materials for Investment Committee meetings and maintaining minutes or action logs;
- Formating quantitative and qualitative data for reporting and presentations;
- Assisting with administrative tasks linked to investment processes, new product approvals and periodic reviews;
- Providing administrative assistance to management team: agenda management, travel arrangements, expenses;
- Preparing management or board meeting materials; taking minutes and track action points where required;
- Supporting internal communication, Group, HR documentation and policy updates;
- Assisting in monitoring regulatory deadlines and audit preparations (in coordination with COO/Compliance);
- Overseeing daily office operations, including supplies, maintenance coordination, and vendor contacts;
- Managing physical and digital filing systems;
- Welcoming guests, managing meeting rooms, and providing hospitality during client visits;
- Handling incoming/outgoing mail, courier services and general office logistics;
- Supporting coordination of events;
- Booking external venues (e.g., restaurants) for client meetings when required ;
- Supporting the improvement of internal workflows and processes;
- Adapting to evolving tasks typical of a growing organisation;
- Participating in internal training (AML, compliance, IT security, etc.);
- Assisting on ad-hoc operational or strategic projects as assigned.
The Successful Applicant
- Similar experience as Relationship Manager within a multi-family office or a wealth manager in Switzerland;
- Good knowledge on financial instruments and banking processes;
- Very good knowledge in MS Office, banking program and PMS;
- Excellent language skills in English;
- Very language skills in French;
- Sense of discretion and confidentiality.
