ISL is seeking a

Senior Administrative Assistant for the Secondary School at 100%
Temporary Contract from 16 January to 31 December 2017
(with a possibility of a permanent contract from January 2018)
This is a full-time position supporting the Educational Leadership Team in the day-to-day operations of the
Secondary School. The successful candidate will be responsible for a wide variety of tasks, from the mundane
to the extremely complex. They will have the ability to interact positively with a wide variety of busy
professionals and to manage competing deadlines for various stakeholders. They will solve multifaceted
problems and will report to the Secondary School Principal.
Job Description


Manage the day-to-day operations of the school’s teacher replacement system for planned and
unplanned staff absences
Operate as examinations officer for the International Baccalaureate (IB) Diploma Coordinator,
including all aspects of student examination logistics and procedures
Assist the IB Diploma Coordinator and the IB MYP Coordinator in the administration of the
programmes and communication with the IB via its online system IBIS.
Support the IB Diploma Coordinator and the IB MYP Coordinator in the scheduling of internal oral
and written examinations
Administer procedures for subject choices for new and existing students, and liaise with the
database administrator
Coordinate the receipt and expedition of academic documentation between ISL and other
institutions, including formal academic transcripts, reports, recommendations and entrance
examinations
Prepare and organise documentation for departing students
Liaise with the school’s IT department to ensure all computer-related requirements are fulfilled
Support teachers and heads of departments with the logistics of ordering educational materials
Undertake various tasks to prepare for the start of each school year and maintaining the integrity of
class lists and subject groupings
Assist the Secondary School Principal in administrative tasks related to the secondary school
timetable
Support and administer school-wide internal tests and surveys
Proofread and check complex written communication
Ensure student records are accurate and up-to-date
Undertake administrative tasks as designated by the Secondary Educational Leadership Team

Qualifications and Qualities Required
Full fluency in spoken and written English (first language), with the ability to proofread complex
documents requiring accurate and nuanced communication

Certificat de Maturité Professionelle or Bachelor’s degree required with at least three years’ work
experience
Excellent ICT skills and knowledge of their effective use to communicate to diverse stakeholders and
support event organization including Microsoft Excel and databases
Experience in database FileMaker is not essential but desirable
Ability to interact positively with a wide variety of busy professionals and to manage competing deadlines
for various stakeholders
Ability to think strategically and to analyse and solve complex issues
Motivation and ability to work with limited supervision

A high level of cultural awareness and international mindedness
Adaptability, sensitivity, dynamism and a sense of humour
