JOB PURPOSE
To manage the School’s reception area and to provide administrative support to the Offi ce of Philanthropy & Community Engagement
The Community Services Offi cer is a member of the Philanthropy & Community Engagement (PCE) team, which seeks to reach, serve, and engage Aiglon students, alumni, parents, and friends to foster lifelong mutually benefi cial relationships that result in volunteer engagement, goodwill, and philanthropic support.
The duties of the Administrative Offi cer are wide-ranging, but responsibilities fall into three main areas:

  1. Front Office Support
    The Administrative Offi cer is the central point of contact for the school and for the PCE Offi ce, providing exceptional service through email, phone, and in person. S/he will manage the school’s incoming and outgoing post and package deliveries. In addition, s/he will receive visitors at the front desk by greeting, welcoming, directing and announcing them appropriately. S/he will provide visiting alumni with campus tours, facilitate meetings with parents, faculty and staff , and provide operational support for various school systems.

  2. Administrative Tasks
    The Administrative Offi cer will also provide high-quality professional coordination of administrative tasks for the school and for the Philanthropy & Community Engagement Offi ce. S/he will coordinate with the fi nance offi ce to ensure postal and customs charges are billed to various departments within the school and private student accounts; forward mail and update school databases; prepare school-wide mailings; and various other administrative tasks.

  3. Operational
    This role will also manage several functional aspects of the school’s operational needs, such as the minibus reservation system, ski pass forecasting, ordering and distribution for students and select staff , and the processing of confi dential exam papers. ● Contribute to any special projects as directed by the Director of Philanthropy & Community Engagement
● As job descriptions cannot be exhaustive, the postholder may be required to undertake additional duties, which are broadly in line with the above key responsibilities

The qualifications, experiences and attributes of the post holder must match the specifications below:

A. Education, Qualifications and Languages
Essential
● English
● Hospitality School Student or at least 3 years of experience in a similar role
Desirable
● Other language

B. Experience and Knowledge
Essential
● English - fl uent verbal, profi cient written
● French - working knowledge
● Google Suite
● Solid computer skills with the capacity to master new technologies
Desirable
● Hospitality training

C. Personal Qualities, Attitudes and Behaviours
Essential
● Strong interpersonal skills, which include an excellent phone manner and personal presentation.
● Ability to build professional relationships with students within the clear boundaries of Aiglon’s safeguarding policies.
● Ability and willingness to become familiar with school databases as required;
● Ability to work under pressure and understand and follow policies and procedures;
● Hospitable and discreet, this position requires a client-friendly attitude and the ability to handle sensitive/confi dential information with discretion.
● The candidate must be able to deal eff ectively and politely with people from diff erent backgrounds and cultures in all types of situations.
● The ability to work fl exibly to meet the requirements of the job.
