Your Role

As Management Assistant & Executive Support, you will report directly to the Chief People Officer and play a central role in supporting HR operations, recruiting, office management, executive coordination and internal will act as a trusted and highly professional point of contact for employees, managers, candidates and external partners, ensuring that HR and administrative matters are handled efficiently, discreetly and with a strong service this role, you will work closely with the Chief People Officer and, where required, support the CEO and C-Level management in organizational and administrative matters. Success in this position requires a high degree of reliability, conscientiousness, diligence, ownership, professionalism and sound are looking for a person who combines structure and attention to detail with positive energy, resilience, strong interpersonal skills and the ability to work effectively in a dynamic international environment. The successful candidate demonstrates a proactive mindset, professional integrity and the ability to maintain high quality standards under modern understanding of digital tools and confidence in working with AI-supported technologies and systems is essential. You should be comfortable using AI responsibly to improve efficiency, communication quality, organization and process effectiveness while maintaining confidentiality, accuracy and professional standards. 

Your ResponsibilitiesHR Administration & Recruiting

  • Act as the first point of contact for HR-related questions and ensure professional, solution-oriented and service-minded communication across the organization.
  • Maintain employee master data and support HR document management in SAP SuccessFactors, including entries, exits, employment contracts, contract changes, certificates and other HR documentation.
  • Support the recruiting process end-to-end, including job postings, application management, interview coordination, candidate communication and preparation of offer documents.
  • Coordinate onboarding and offboarding processes, including checklists, IT and access coordination, welcome arrangements and smooth handovers.
  • Support topics related to time management, absences and certificates and act as an interface to Payroll, Finance and external payroll providers in France and the UK.
  • Contribute to international HR projects, HRIS implementation activities, employer branding initiatives, policy rollouts and continuous process improvements.
  • Utilize digital and AI-supported tools responsibly to improve administrative efficiency, communication quality, documentation standards and workflow coordination. 

Executive Support & Internal Communication

  • Support the Chief People Officer in daily business activities, project coordination, meeting preparation and follow-up activities.
  • Provide organizational and administrative support to the CEO and C-Level management where required.
  • Prepare presentations, meeting materials, decision papers and follow-up documentation in a structured, accurate and professional manner.
  • Support internal communication, management updates and employee information in a clear, respectful and engaging way aligned with the Wintipak Spirit.
  • Interact confidently with C-Level management, managers, international teams and external partners while representing HR with professionalism, discretion and strong customer orientation.
  • Demonstrate excellent follow-through, reliability and the ability to manage multiple priorities with calmness, focus and professionalism.
