The role
We are looking for a detail-oriented and analytical Shipping Operations & Vetting Assistant to support and enhance vessel vetting processes and shipping operations, ensuring full regulatory compliance, strong data integrity, and high-quality operational analysis to support business decision-making.

Key responsibilities
Vessel Vetting:
Lead and oversee the vessel vetting process (approx. 500 cases annually), ensuring full compliance with internal policies, technical standards, and regulatory requirements (including KYC and credit assessments for spot and time-chartered vessels). Continuously maintain and improve vetting procedures, controls, and reporting frameworks.

Shipping Operations:
Handle shipping operations (spot and time charter fixtures) when required by the Team Leader, working closely with internal stakeholders.

Support to Fuel Cargo Operations:
Provide administrative support to the fuel cargo operations team, including validation of port agent nominations for internal voyages, ensuring compliance with internal policies.

Fleet Management:
Maintain and regularly update the fleet list, ensuring accurate and timely weekly reporting to the freight desk. Ensure consistency and integrity of fleet data in line with commercial and operational realities.

Time Charter Control & Validation:
Validate time charter (TC) entries in internal systems, ensuring operational and financial data accuracy in line with contractual terms. Identify discrepancies and implement controls to improve data quality.

Documentation Management:
Develop and maintain a centralized, structured repository of key time charter party (TCP) clauses to improve accessibility and support the shipping team.

Analytics & Reporting:
Drive advanced shipping operations analytics and reporting for the operations and freight teams, including dry dock planning and analysis, vessel performance benchmarking, voyage analysis, and annual operational reviews. Design, produce, and present regular and ad hoc reports, providing insights on fleet utilization, performance, operational risks, and cost optimization opportunities.

Cross-functional Coordination:
Act as a key liaison between operations, chartering, risk, and compliance teams. Provide guidance on operational and contractual matters, support strategic initiatives, and deliver ad hoc support to the operations team (administrative and operational tasks).

Your Profile :
1-3 years of experience in a similar role or within an audit background
High level of accuracy and attention to detail
Strong adherence to processes and controls
Ability to analyze and interpret complex data sets
Advanced Excel and/or Tableau skills
Experience working with large data volumes
Fluent English
