A Day in the Life
Responsibilities may include the following and other duties may be assigned.
* Manage Director's calendar, organize meetings and maintain calendar up to date: avoid overlaps & reschedule meetings
* Manage Director's travels (booking flights, accommodation and all logistics related to professional trips)
* Handle/Create Expenses Reports of the Director
* Organization of internal meetings:
* Full ownership of the logistics (conference room, catering, agenda, accommodation when necessary)
* Main point of contact with the venue (find a suitable venue, contract, payment, logistics)
* Travel, transportation and accommodation
* Effective communication with attendees
* Organization of teleconferences, live meetings and video conferences
* On-site logistics when necessary
* Create and keep up to date Org Charts & Distribution lists
* Process all team invoices and ensure payment in accordance with current process (PO/PR creation in Ariba, approvals, accruals, back-charges, coordination of payment).
* Compile and communicate/forward information/announcement to the team
* Prepare and ship event materials and track deliveries
* Organize Storage in the SHQ Office (organization of clean up, remind guidelines to the team…)
* Order material on Custompoint, keep OneSource calendar & Business calendar Up to date
* Onboarding of new employees
* Adhoc support to the team as necessary
Must Have:
* Detail oriented
* Positive, Can do attitude
* Passionate and interested in learning and developing new skills
* Team commitment
* Creative on identifying events opportunities
* Flexible and proactive in a changing environment
* Organized in managing projects, Independent
Nice to Have
* A second european language : Italian, French will be a plus
