Job Description
As Executive Assistant to the CEO, you will play a pivotal role in ensuring the smooth and efficient management of the CEO's day-to-day activities. Acting as a trusted business partner, you will coordinate complex schedules, facilitate communication with internal and external stakeholders, and provide high-level administrative and organizational support.
This position requires excellent judgment, strong organizational skills, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
- Manage the CEO's complex calendar, scheduling meetings and coordinating priorities.
- Organize domestic and international travel arrangements, including itineraries, accommodation, visas, and logistics.
- Prepare meeting materials, presentations, reports, and correspondence on behalf of the CEO.
- Act as a key point of contact between the CEO and internal and external stakeholders.
- Coordinate leadership meetings, executive committees, and board-related activities.
- Draft, proofread, and manage professional communications in English and French.
- Follow up on action items and ensure timely execution of agreed deliverables.
- Handle confidential information with the highest level of discretion and professionalism.
- Support project coordination and contribute to special business initiatives as required.
- Assist with office management and administrative matters when needed.
The Successful Applicant
Profile
- Previous experience as an Executive Assistant supporting a CEO, Managing Director, or senior executive.
- Experience within an SME, entrepreneurial, or fast-paced environment is highly desirable.
- Excellent organizational and prioritization skills with strong attention to detail.
- Ability to anticipate needs, solve problems proactively, and work independently.
- Strong communication and interpersonal skills.
- Highly trustworthy and comfortable handling sensitive and confidential information.
- Proficiency with Microsoft Office Suite (Outlook, PowerPoint, Word, Excel, Teams).
- Fluent English and French are required; additional languages are an asset.
Qualifications
- Bachelor's degree, commercial diploma, or equivalent qualification.
- Minimum 5 years of experience in an Executive Assistant, Personal Assistant, or similar senior administrative role.
- Proven experience supporting C-level executives.
