Extracurricular Officer (maternity cover)

To assist the Extracurricular Department in the planning, organization, subscriptions, implementation and management of all extracurricular activities for day and boarding students, including private lessons.  Support the department by handling the financial analysis and related metrics of the department activities. This position is for a maternity leave cover starting mid-February 2017.

Key Responsibilities:

 Customer Service

  • Timely provide customer service to parents of children’s subscribed at the extracurricular activities through emails, phone calls and front desk enquiries;
  • Manage daily communications and calls to teachers for coordination of activities and private lessons;
  • Provide help and advice to parents using the Extracurricular program offer;
  • Investigating and solving customer’s problems;
  • Keeping accurate records of discussions or correspondence with parents;


  • Manage the students subscription process for the extracurricular activities
  • Manage from A to Z the private lessons program (Lessons planning, client service, registration, process, etc.);
  • Coordinate logistics for delivering the extracurricular activities and private lessons (teacher’s relations; absences; covers; room reservation, etc.);
  • Ensure departmental filling is keep updated;
  • Maintain up to date the Extracurricular database:
  • Prepare annual and periodical updates of Extracurricular activities booklet;
  • Support on the annual and periodical extracurricular activities planning: Implementation of new programs and gathering benchmarking data.
  • Development of marketing tools and surveys


  • Analysing statistics or other data to determine the level of customer service provided by the department;
  • Creating and keeping the department’s statistics updated in order to evaluate the XCR evolution (number of students, activities, boarders, private lessons,…)
  • Responsible of (instead of support) providing the Extracurricular program financial projections (forecast) to Finance department ;
  • Responsible of (instead of support) the billing process: calculate the number of activities done by the students, prepare consolidated list to bill parents, communicate billing information to Finance;
  • Billing: deal with parents complains and billing modification
  • Responsible for preparing and providing monthly teachers’ salaries information to Loyco and HR
  • Provide financial monthly reports on current activities and private lessons;
  • Pricing analysis and review
  • Provide financial planning and regular profit reports for existing and new proposals on the extracurricular programme;
  • Maintain an accurate accountancy

Recent graduate qualification obtained

Ecole hôtelière

CFC Commerce

Travel agent Diploma


Excel/Word advanced level

English and French advanced levels (One mother tongue)

Other European languages is an asset


Administration/financial experience


Prior Knowledge

1+year reporting or budget with aptitude for business control
